POSITION SUMMARY:

The Sponsorship Team is seeking an organized and detail-oriented individual to assist the Urban Land Institute’s sponsorship program. This is an operations position focused on providing administrative support to a fast-paced department.

Key responsibilities of this position include the following: updating and maintaining company records and spreadsheets, generating agreements and invoices, prospect and point-of-contact research, and customer service relations.

The Associate will provide customer service to sponsors and work closely with other departments. The position reports to the Director, Sponsorship & Corporate Partnerships, and will work closely with the entire Corporate Partnerships team on account management tasks and collections. This position is based in ULI’s headquarters office located in Washington, D.C.

SPECIFIC RESPONSIBILITIES:

• Update and maintain sponsor records and spreadsheets, including within ULI’s CRM system.
• Generate, track, and manage all sponsorship agreements and invoices. Work with the finance team to address issues as needed.
• Manage the collection of sponsorship fulfillment items, creating and sending regular reminders and update emails.
• Manage and track sponsorship registration codes and membership usage, coordinating with other departments on weekly reporting and updating sponsorship spreadsheets.
• Manage and send out all mailing requests such as thank-you letters, prospectuses, etc.
• Monitor and manage sponsorship team inbox, answering all sponsorship account-related inquiries.
• Conduct prospect and point-of-contact research for upcoming campaigns.
• Act as a liaison with both internal and external contacts, maintaining a high level of courtesy and professionalism.
• Be highly responsive and work flexibly with shifting priorities.

EXPERIENCE:

• Be highly organized, self-motivated, and demonstrate attention to detail.
• 3-5 years of administrative or related operations work experience.
• Excellent customer service–related experience (via email/phone).
• Experience using NetForum or other CRM programs.
• Applicant must be proficient in using Google Drive, Microsoft Excel, and Word–Mail Merge.

EDUCATION:

• A degree and/or relevant work experience
