The Urban Land Institute is a nonprofit research and education organization supported by its members. The mission of the Institute is to provide leadership in the responsible use of land and in creating and sustaining thriving communities worldwide.
With over 2,600 members, ULI Toronto is the first Canadian district council that provides an venue for active dialogue among private industry, environmental organizations, and public agencies to help provide solutions to local and regional issues. Our members represent the entire spectrum of land use and real estate development disciplines, working in private enterprise and in the public sector.
POSITION SUMMARY
The Manager is a tull-time position (maternity leave) within the district council reporting to the Director. As an integral part of the district council team, the Manager is a liaison among the district council, ULI headquarters, and Toronto’s land use professionals.
The Manager provides committee, event, and financial management to lead the activities of the district council’s Program Committee and Women’s Leadership Initiative (WLI) Committee as well as the Extra events (which are staff-led) to ensure that all committee work is consistent with ULI’s policies and procedures and that the district council’s goals and objectives are met.
This is an approximately 12- to 18-month position backfilling an employee on maternity leave.
DUTIES & RESPONSIBILITIES
ULI is seeking an individual with an interest in land use development issues who can support our ULI team in the day-to-day activities of the district council.
Committee and Volunteer Management (Program Committee, WLI, and Extra Events)
- Oversees the activities relating to the program and WLI, and Extra events (led by staff).
- Manages the production and implementation of meetings/events, ensuring that assignments are carried forth between committee meetings.
- Handles the administrative details of all programs and campaigns relating to these committees where committee responsibilities may change over time (see event logistics info below).
- Attends committee meetings, sets agenda with co-chairs, takes minutes, schedules meetings, and manages other aspects of committee work.
Event Management and Logistics (Program Committee, WLI, and Extra Events)
- Works with the program committee, WLI committee, and Extra events (led by staff), along with staff on event planning, financials, and all aspects of event planning.
- Manages the logistics of meetings and events: setting up panel calls, subcommittee meetings.
- Sets up events in the ULI content database system: setting up registration and working to create event notifications.
- Manages all aspects related to event preparation: creating event template, support marketing efforts, gather and create speaker presentations, create event agendas, create scripts, run of show, create event budgets, and manage sponsorship opportunities.
- Manages tech and operations for events on the virtual platform (Zoom) from beginning and monitors the back end during events to provide a seamless webinar.
- Registers guests to program and puts names and addresses of members in the database.
- Works with volunteers and staff on on-site logistics at events; this includes morning and evening events (for in-person events).
Financial and Administrative Management
- Supports the district council business plan in helping deliver on the annual budget.
- Works closely with the Director to monitor and track financial performance of events and to produce contracts for (in-person) events.
- Responsible for the daily staff agenda, staff calls, Executive and the Management decks.
- Uses the content management and database system to access member and nonmember records to produce reports.
- Forwards any name, address, phone, and email changes to the ULI Customer Service Department.
- Receives and answers phone and email inquiries from District Council members and nonmembers.
- Other duties as required to help move forward the business plan in committee management, event management, and financial and administrative management.
EXPERIENCE
- 5 to 7 years of related experience in association management or event management.
- Proficiency in Microsoft programs including Outlook, Word, Excel, and PowerPoint.
- Familiarity with WordPress is an asset as well as Adobe Creative Suite.
- Able to use basic content management systems and pull data for reports.
- Fluent/proficient computer skills and strong aptitude with computer software for applications in word processing, spreadsheets, website, and managing document flow.
- Professional oral and written communication and interpersonal skills to work with senior business and public-sector executives.
- Self-motivated, demonstrating meticulous attention to both detail and deadlines.
- Demonstrated ability to initiate tasks; assume responsibility for them; work with minimal supervision in a high-production position; prioritize tasks; handle multiple tasks concurrently and completely, with responsible follow-through; and meticulous attention to detail.
- Strong organization and time management skills, with an ability to multitask, pay attention to detail, and work independently and productively with a responsible follow-through.
- Adaptability and an ability to provide courteous customer service.
- Interest in local real estate market dynamics and land use a plus.
- Able to travel to ULI events (in the early morning or evening) throughout the region.
EDUCATION:
- Bachelor’s degree in real estate, urban planning, or business/public administration degree or relevant experience.
